Hello Tiger Sharks!

The Harpers Mill Manta Rays are excited to host your team on Tuesday, July 7th. Below is important information regarding entries and meet logistics.

Meet Timeline:

  • 5:00PM – 5:25PM : Harpers Mill Warm Up
  • 5:25PM – 5:50PM : Tarrington Warm Up
  • 5:30PM – Timer and Strokes and Turns Meeting
  • 5:50PM – 8 & Under Relays Assemble Behind the Blocks
  • 5:55PM – National Anthem
  • 6:00PM – Meet Starts

**Note: We do NOT participate in or host “Ripple Races” prior to the start of the swim meet.

Address and Parking:

  • The address to our pool is: 8600 Pullman Lane, Chesterfield, Va. 23832
  • ALL parking will be at our nearby elementary school: Winterpock Elementary: 9000 Elementary Way Loop, Chesterfield, Va. 23832
  • Our “Drop Off Zone” is located on Pullman Lane across from the main entrance into the clubhouse. A police officer (Chesterfield County Police) will be present helping to direct traffic and patrons who are dropping off swimmers and/or large items (tents, chairs, swim gear, etc.)
  • No Parking is allowed on Harpers Mill Parkway. Any cars parked here will be at risk of being towed.
  • We will have 4 spaces available for your coaches and/or board members in our Reserved Parking Area.All other parking will be available at Winterpock Elementary. Please provide the names of those who will use these spaces so they will be permitted access as they arrive.

About Our Pool:

**Pool side closest to the clubhouse is under 4ft. During 8 & Under Relays, swimmers at this end MUST start in the water**

  • The visitor section is to the right as you enter from the main entrance. Tents are NOT ALLOWED on the pool deck.
  • Reserved seating ONLY will be located under our club house awning next to the bar area. Tables, chairs, and umbrellas on the pool deck CANNOT be moved.
  • Visitor overflow seating is available in the side parking lot. Tents are PERMITTED in this area.
  • Signage will be displayed throughout the pool property to help patrons easily locate seating areas and amenities.
  • Current Event and Heat sign will be displayed at the top of slide.
  • Events called to Clerk of Course will be displayed in 2 areas: (1) On pool deck next to Courtyard gate (2) Visitor overflow seating parking lot
  • Swimmers reporting to Clerk of Course will need to walk around pool deck. Please do NOT allow swimmers to cut through area behind the slide. (This area will be blocked off)
  • The Fin Zone (located outside of Courtyard) a Food Truck(located in front of secondary entrance) will be providing food for the meet. They accept cash or card.
  • Manta Ray Hydration Station (located at pool deck bar) will have water, sports drinks and sodas available for purchase. CARD ONLY.
  • We will be providing meals for ALL coaches. Please let us know how many meal tickets your team will need.

Pool Rules and Etiquette:

  • Barriers will be set up throughout the pool deck. Please keep swimmers and parents away from the timer stations and the area behind clerk of course and the pool slide.
  • We do have a “zero-entry” shallow section of the pool. This area will be blocked and a lifeguard will be on duty to ensure children do not enter the pool.
  • No parents, swimmers, or coaches are permitted on the island in front of the results table. Any person(s) not permitted to be in this area will be asked to relocate.
  • NO recording or pictures behind the blocks per USA Swimming.

Volunteers:

Our meets are broken down into 2 “halfs.” Please provide the following volunteers for each half.

  • -1 Clerk of Course (Please do not assign anymore than 1 Clerk of Course person per half for your team. We do not want to overcrowd this area of our pool.)
  • -Mite Parent (as many as needed for your team)
  • -1 Results Table Worker
  • -2 Strokes and Turns Judges
  • -9 Timers (See Chart Below)

**We have found it helpful to assign timers to their lane prior to the start of the meet. This saves time placing people during the “halftime”**

  • ALL Timers and Strokes & Turns Judges will report for a Briefing Meeting by the Announcers Station at 5:30PM.

We look forward to hosting you for our meet on Tuesday, June 9th starting at 6:00 p.m. Here is some information to pass along to your team - and if there is anything that we have not covered, please do not hesitate to ask!

Volunteers:

Below are the following volunteer positions we will need filled:

20 Timers - 10 each half (we have 7 lanes)

4 Clerk of Course assistants (2 each half)

Mite Parents – (# is up to your team – please note that we will not be utilizing the clerk for the 8 & under relays)

2 Results Table Workers/Verifiers (1 each half)

6 Strokes and Turns Judges (3 each half)

Warm-Ups: Tarrington will warm-up from 5:20-5:45 PM, FoxCreek will warm up from 4:50–5:15 PM. The meet will start at 6:00 PM. We will not be hosting a kick-board race.

Officials and Timers Meetings: There will be an Officials (Strokes and Turns) meeting led by our Meet Referee (Jason Lake) at 5:40 PM adjacent to the computer table. A Timers meeting will be held at 5:45 PM behind the starting blocks.

FoxCreek Parking Directions: Please see attached map for available parking areas. We try to leave our parking lot for your team, but it does fill up fast and we have to leave spaces for our residents using the gym. Parking is also available in the lot directly across from the pool. We also have parking available as overflow parking in the field adjacent to the pool parking lot. Please be courteous and pick up any trash around your vehicle before leaving.

**Please let your team know that they cannot park on FoxCreek Crossing (the main road into the subdivision). Cars parked on FoxCreek Crossing will be asked to move.

Pool Seating: (see attached map)

When you come into the pool deck from the gate, we have reserved the deck area to the right for your team. Please encourage your parents to bring chairs, extra blankets/towels for seating and tents if desired. We have some deck seating, but it is limited. Overflow seating will be provided in the grassy areas surrounding the pool deck directly behind your designated seating area. Please make every effort to remind your team to pick up trash and personal belongings before leaving for the evening.

Coaches:

Please let me know the number of coaches chairs you'd like me to set up in the designated area set aside for your team. FoxCreek will provide 5 coach meals in the form of $12 per coach to be used at any one of our food trucks or concession stands. We will also have some parking spaces labeled for "visitor coach" parking as well as "visitor board" parking.

Weather: In the case of weather, the FoxCreek policy is a 30min delay for thunder - 45min for lightning. Should the situation not improve - the decision on the progression of the meet will be a collective decision amongst the FoxCreek Parent Rep/Board Director/Head Coach and Tarrington Parent Rep/Board Director/Head Coach. Communication should be handled about any delays directly to team members by the respective teams. Should there be a delay - pls meet in the FoxCreek clubhouse. The door is just to the right past the concession stand.

Heat Sheets:

We do not print or sell heat sheets at home meets. Once finalized, heat sheets can be found on the Swimtopia site and we will distribute them to you via email for distribution as well. Please feel free to share it with your families. It is a good idea to remind swimmers and families that changes may be made to the final seeding of the meet, and that swimmers should follow all instructions given at the clerk of course. We will have printed heat sheets for coaches, clerk of course, and all officials who need them. We will also print and provide relay cards for your team – please have your coach see Tessa Harris upon arrival to retrieve them.

Concessions/Food Trucks:

Come hungry!! We will have Timber Pizza, Arroz RVA, The Faithful Lemon, The Green Apple and Kona Ice on site Tuesday evening. The food trucks will be located in front of the clubhouse. In addition to the food and dessert trucks, we will have light concessions available for sale including drinks, snacks, candy, etc. Our concessions table will accept Cash and Venmo.

*We will also have “SHOUT OUTS!” available for purchase for $1 at the Concessions table. Cash and Venmo will be accepted.

Entry Exchange:

We would like to have entries locked on Saturday at 12Noon if that works for you.

Raffle: We will be hosting a themed raffle basket. Tickets for a chance to win will be 1/$5, 3/$10, 10/$20.

Theme: We are trying to get all the kids pumped and excited for meets. So please join us in our theme night - BEACH WEEK!

**A reminder that swimmers and their younger siblings are not allowed in the baby pool or the wading area during the meet. This policy will be strictly enforced by our lifeguards. Also, only coaches, swimmers, and meet volunteers will be allowed behind the blocks during the meet per SafeSport protocol.
